We are seeking a highly organized, proactive, and detail-oriented to support company leadership and help coordinate operations across multiple business functions. This role works closely with executives and requires a high level of professionalism, communication skills, and ownership of responsibilities.
This is not a basic administrative role. We are looking for someone who can manage multiple priorities, communicate with vendors and partners, and ensure important tasks and operational items are followed through to completion.
The ideal candidate is dependable, resourceful, and comfortable working in a fast-paced business environment where organization, follow-up, and clear communication are essential.
Key Responsibilities:
- Manage executive email inboxes, monitor communications, and draft professional responses when needed.
- Coordinate directly with vendors, service providers, and partners via phone and email.
- Track important operational tasks, deadlines, and follow-ups for the executive team.
- Schedule meetings, maintain calendars, and ensure executives are prepared with necessary materials.
- Organize and maintain company documents, contracts, and internal records.
- Prepare reports, summaries, and documentation to support leadership decision-making.
- Follow up with vendors, departments, and team members to ensure tasks are completed on time.
- Assist with operational coordination across different parts of the business.
- Maintain high levels of confidentiality when handling sensitive information.
- Support executives with day-to-day operational and administrative needs.
Requirements:
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Comfortable making phone calls and communicating professionally with vendors and partners.
- Ability to track multiple projects and follow through on tasks independently.
- Strong attention to detail and accuracy in documentation.
- Professional, reliable, and proactive work style.
